General supervisor

1 – Job Description:

The General Supervisor is and education officer with multiple abilities, appointed by the School Administration to act as a coordinator among Section Supervisors, and to oversee their work and performance. He provides a quiet, safe, peaceful and reassuring school environment, conducive to learning and positive interaction.

 

2 – Reference:

The General Supervisor refers to the Section Heads and then to the School Principal for his current tasks.

 

3- Main Tasks:

  • The General Supervisor provides leadership to the team of Section Supervisors, urging them to encourage the students to abide by the school rules and regulations.
  • He supervises the performance of the other supervisors and their interaction with the students in their quest to apply the school internal policy.
  • He meets with the section counterparts periodically, evaluating their supervision performance and recommending modifications in the strategy according to the needs.
  • He helps Section Heads in scheduling the activities of the general program.
  • He creates a convivial relationship with the students, encouraging his counterparts to do the same.
  • He watches over the smooth application of the program of periodic examinations supervision.
  • He supervises the preparation of the examination rooms by the Supervisors, the distribution of tasks and duties, as well as the seats for students during the exams sessions.
  • He remains in the school premises during recreations to supervise the students, addressing them remarks whenever necessary.
  • He relays relevant decisions to the team of Supervisors.
  • In cooperation with the section counterparts, he ensures the protection of the property from deliberate damages.
  • He draws the teachers’ attention on the model conduct proper to the students of the section,
  • He meets with families of students with discipline related problems, after the approval of the School Principal.
  • He sets a schedule of weekly meetings with the Principal to discuss expected or current challenges, and to organize programs within or outside the schools premises, as well as campaigns and special events celebrations.
  • He prepares regular reports on the supervision process and submits them to the Section Heads, as he submits an annual report to the School Principal at the end of the school year.

 

The General Supervisor participates in:

  • Meetings of the School Council,
  • Meetings of Classes Councils
  • Meetings of the Disciplinary Board when held because of the conduct of one of the students.
  • Celebrations and activities organized by the Sections and the School Administration.
  • Training sessions to improve his skills.

 

4 – Practical Skills and Personal Qualifications

The General Supervisor must be:

  • Experienced with efficient practical and educational skills, enabling him to understand the consequences of misbehavior and perceive its causes.
  • Able to lead a group of people and communicate with them orally and in writing.
  • Fluent in two foreign languages besides Arabic.
  • Sensible and serious.
  • Endowed with positive thinking which helps him introduce new methods in correcting behavior positively.

 

 

THE SECTION SUPERVISOR

 

1-Job Description

The Section Supervisor reflects the discipline nerve in the school, combining between softness and hardness. On the one hand he/she has to respect the student and on the other to implement the school rules and regulations without complacency or leniency. His / her role is not only concerned with the pedagogical aspect but also with the educational aspect which is the ultimate goal.

 

2 – Reporting

The Section Supervisor is directly linked with the General Supervisor as well as with the Section Head.

 

3 – Main Tasks

  • He / she is present at school every day, 10 minutes before the first bell and leaves 10 minutes after the last bell, after making sure that the last student has left.
  • He / she is present during school holidays when necessary and at the request of the Section Head.
  • At the beginning of the school year, he / she reads with the students the school internal rules and regulations, inciting them to abide by the discipline and ethics code, not out of fear of the system, but rather to maintain the appropriate conduct level in school.
  • He / she addresses a letter to the parents, after coordination with the Section Head, inviting them to ready the regulations policy book with their children, affixing their signatures as well as that of their children before returning it to the Section Supervisor.
  • He / she is present in the playgrounds during recreations as well as at the arrival of the students and upon their departure,
  • He / she meets with the parent of students with discipline related problems, after approval of the Section Head.
  • He / she organizes campaign programs and special events to be held within the school premises.
  • He / she is de facto a Member of the Jury of the classes relevant to his / her supervision.
  • He / she is de facto a member of the Disciplinary Board, which meets when necessary.

 

A – His / her Relations

Relations with the Section Head

  • Relations with the Section Head is built up on two pillars: openness and seriousness in work.
  • He / she secures the communication of decisions issued by the administration, whether it be to the teachers or the students.
  • He / she attends periodic meetings with the School Principal,  the Section Head and the rest of supervisors to study all that is related to the students’ conduct and what is related to his/ her work as Section Supervisor.
  • He / she submits a report at the end of the school year to the School Principal and to the Section Head including his/ her impressions, observations and suggestions to improve the school running.
  • He / she informs the School Principal or the Section Head of any occurring or urgent development.
  • He / she undertakes any special task assigned to him by the School Principal or the Section Head, as long as it is in conformity with the nature of his work.

 

Relations with the teachers

The duty and responsibility inherent to the Section Supervisor, in his relations with the teachers, require from him/ her  the following:

  • That these relations with the section teachers be solid and imperative.
  • To record the delays of the teachers from their class, mentioning the reason for these delays.
  • To coordinate with the section teachers in order to control discipline and order, and learn from them all about the students’ behavior through a written report.
  • To ensure attendance in the classroom in case of urgent or temporary absence of a teacher.
  • To participate with the teachers and Section Head in evaluating the personal and social development of a student.
  • To make a respectful and appropriate claim to any teacher who violates or neglects the rules of procedure of the educational body, and register these violations in a special teachers’ file.
  • In the event of voluntary or involuntary disturbance of the public order by a teacher, to notify the Section Head directly so as necessary measures and action be taken.

 

Relations with School employees  

  • It is not possible for any Section Supervisor to address any special or general request to an employee directly, but it must go through the Section Head.
  • In the event of finding out any negligence or shortcoming in the employees’ work, whether cleanliness wise or ethics wise, the Section Supervisor shall inform the Section Head who undertakes to solve the problem in accordance with the school values.

 

Relations with the Students and Class Representatives

  • The Section Supervisor follows the student’s conduct outside the classroom walls and seeks to secure a positive and safe school environment to the students.
  • He / she treats the students equally without compromise or weakness, but with firm seriousness to control the public order and maintain the school level of ethics and morality.
  • He / she remains committed to implement the administrative directives communicated at the beginning of the school year and works at applying them firmly throughout the year.
  • Every week, the Section supervisor reminds the teachers of their daily and weekly duties listed in the school Internal Rules and Regulations appendices.
  • He / she requests the list of absentees and follows it up with the class heads accurately.
  • In case of absence of a students for illness reasons, the Supervisor shall not accept him in class before receiving a medical report signed by the doctor, clarifying the reasons of his illness and absence. This report shall be saved in a file proper to the student.
  • In case of valid reasons for the absence, the supervisor shall inform the Section Head immediately.

 

B - The Section Supervisor’s role

In the offices of the Supervisors

The offices of the Section Supervisors are:

  • Working places containing the students’ files (their absences, the actions taken against them, medical reports), the parents’ correspondence and the teachers’ files. They also contain the class materials and supplies, as well as the attendance books.
  • These offices are not intended for rest for the teachers, neither for eating and drinking.
  • They are places where the supervisors have coffee a quarter of an hour before or after recreation, and where they are allowed to have some food in an orderly manner during their work.
  • They are not places intended to receive visitors. Reception shall in the main school lounge with the approval of the Section Administration.
  •   Teachers are allowed, in special cases only, to enter the supervisors’ offices, for administrative, educational and coordination reasons, without disrupting their work.

 

In the examination system:

In the preparation of the examinations room, in the distribution and then in the presentation of the papers:

  • The pre-processing of the exams room is a technical matter, dealt with among the Section Supervisors at the request of the Section Heads. On entering the exams hall, the student shall find in front of him the necessary materials and supplies ready for him to start the contest.
  • The Section Supervisor prepares the tests and exams papers and presents them to the Section Head.
  • The Supervisor does not distribute the papers before the students are all seated and total calm achieved. If two or more examinations are held in the same period, the second paper shall not be distributed before the student has completed the first test.
  • Upon delivering the exams papers, the student shall affix his signature in a special list, near his name and the subject of the exam, in addition to the exam date.
  • The Section Supervisor gathers all the papers and hands them to the Section Head.

 

In the controlling process:

  • The Supervisor forbids the students to borrow or lend anything during examinations hours.
  • The student reads his paper carefully for ten minutes before proceeding to analyze it or answer the questions, to check whether there is any misleading question, which clarification he will ask only from the Supervisor in charge and not from the teacher of the subject. Thereafter, it is strictly forbidden to ask any question, whatever its importance.
  • The Supervisor forbids the student to stand up or move from his seat during the exam, as for his needs request, this will be done through raising his hand.
  • The Supervisor forbids talking among the students during the exam.
  • Teachers and Supervisors are positioned in the examination room in a way to make monitoring easy and effective, they do not move between the alleys except in cases of suspected cheating or sanctioning a  student, in order to ensure a calm and comfortable atmosphere for them.  This positioning is effected according to a special program laid down by the General Supervisor and the Section Head. 
  • The Students are seated in the exam hall in advance according to special schedules stamped with the hall description and the desks numbers, organized by the Section Supervisor under the control of the General Supervisor.
  • In case there is any important reason for talk between the Supervisor and the teachers in the course of the exam sessions relating to their general organization,  this should be done in as a low voice as possible and as briefly as possible.
  • The Supervisor is forbidden any drinks, food or smoking in the course of supervision and in all the exam halls.

 

In cases of fraud:

  • It is strictly forbidden to the Supervisor to tear an exam paper or hit a student caught in the act of cheating.
  • It is never allowed to expel a student from the examination room except in exceptional cases, provided the Section Head is immediately informed.
  • Sanction shall be applied immediately after discovery of fraud and without any warning.
  • In cases of fraud or breach of the examination order, penalty shall be imposed by the signature of the Supervisor on top of the first page of the copy, under the observation he writes. Responsibility for the action to be taken shall be incumbent on the administration and on the teacher of the subject.
  • The supervisor forbids any student to leave the examination hall before the last ten minutes from the end of the examination.
  • Giving and checking the students’ marks include the following:
  • The Supervisor reminds the teachers of the need to hand the monthly and half-yearly marks to the Section Head before the pre-determined deadline in the quarterly schedule, pursuing the matter firmly and with accuracy,
  • The Section Head receives the marks directly from the teachers and can hand them out to the assignee, whereby they can be printed on special lists proper to each section. After printing out the marks, they are handed to the Supervisor to be re-examined for a total score before distributing them to the students by the Section Head.

 

In the students’ arrival and departure to and from school, then in the playgrounds, then in the classrooms:

  • The Supervisor organizes the arrival of students getting down by bus in the morning, and watches over their departure by bus at the end of the school day.
  • The Supervisor always insists, as far as possible, to keep order in the playgrounds, aligning them in rows before they enter the classrooms.
  • The Supervisor sanctions every student who continues to chatter and make noise after recreation.

 

In observing classes during school hours:

  • The Supervisor observes and registers the name of the students who disrupt the class order, without calling them out of the classroom, except in special cases that he deems urgent and necessary. At the end of the class period, actions are taken against those who breached discipline by the Supervisor, in accordance with the school internal rules and regulations.
  • In urgent cases when the Supervisor is forced to interrupt class quickly and without the knowledge of the administration, he shall inform the Section Head accordingly as soon as possible.
  • The Supervisor gives his directives clearly to the Students within the classroom and it is preferable they are made in writing.

 

In the file of the parents’ correspondence:

  • In case one of the students is absent for a reason known by the parents, the Supervisor does not accept him in class without receiving and attestation signed by the parents, clarifying the valid reason for his absence. However, and whatever the case, it is compulsory to inform the Section Head of the absence reason.
  • All these attestations, together with the general correspondence of the parents, are kept in a special file, and are included as observations in the relevant student’s file.

 

General warnings and sanctions

The warnings are of two types:

 

Type one:  General disciplinary warnings to the student

Type two:  School educational warnings given to the student in class by the teacher, through  special warning card

 

  • For any violation of the public order, the student is subject to hierarchical administrative procedures stated in the student’s policy rules. The Supervisor shall apply these with his perspicacity and experience, in coordination with the Section Head.
  • At the end of each day, the Supervisor presents a detailed report on the disciplinary and educational warnings to the Section Head, in a single list to be reviewed for necessary sanctions.
  • The sanctions are in the student’s interests and aim at guiding him to persevere in his school work, and adopt a correct behavior in his studies and social life.
  • All warnings and relevant files are kept in the Supervisor’s office, to be transferred thereafter to the section archives.
  • All administrative procedures against transgressors are saved in a special file relevant to the student.

 

4. Operational skills

  • Able to communicate with the Administration and the student on an ethical and a pedagogical basis.
  • Able to settle the daily personal and collective educational problems.
  • Masters two foreign languages, French and English.

 

5,Personal qualifications

  • Flexible and dynamic.
  • Alert presence.
  • Relational.
  • Well-balanced.
  • Holder of a university degree and well-versed in education.
